How to filter items from a collection in a gallery with a checkbox?

Hi!

 

I am building an app that takes employees inputs, stores it on SharePoint, then there is a gallery that shows the information stored on SharePoint and on the Browsescreen1 there is a button connected to a flow that allows users to export the gallery to a CVS file.

 

I want to allow users to export a single record from the gallery and not all of them, I have included a Checkbox 1 on the gallery but I haven't found a way to get it to work.

 

This is the code on the export button:

If you want to export only single record, then you can give a icon/button in gallery for each item to export that particular record. 

Formula to write on button/Icon OnSelect property

To filter items from a collection in a gallery based on whether a checkbox is checked (chosen) by the user, you'll need to modify your approach slightly. The key is to update a property (e.g., "IsChosen") in each item of your collection when the user interacts with the checkbox. Then, when exporting, you can filter the collection based on this property to include only the chosen items.

 

Update Checkbox Interaction:
Make sure you have a checkbox (let's call it "Checkbox1") bound to a Boolean field (e.g., "IsChosen") in your data source. The Checked property of the checkbox should be bound to the IsChosen field of each item in the gallery.

- OnCheck Property of the checkbox:

Patch(colEndUserOnboarding, ThisItem, { IsChosen: true })

- OnUncheck Property of the checkbox:

Patch(colEndUserOnboarding, ThisItem, { IsChosen: false })

 

Export Button:
Modify your export button logic to filter the collection ('colEndUserOnboarding') based on the 'IsChosen' field before generating the CSV file.

In the above code:
- We use the 'Filter' function to include only the records where 'IsChosen' is true.
- We then collect the filtered records into a new collection ('colSelectedRecords').
- The rest of your export logic remains unchanged, but now it operates on 'colSelectedRecords' instead of 'colEndUserOnboarding'.

 

Adjust the field names and collection names as per your actual data source and requirements.

Thanks a lot for your comment. I have adapted the formula and included the filter function as mentioned on your message but now I'm getting multiple error messages:

The checkboxes have been added in each item of the gallery with the

OnCheck Property of the checkbox:

Patch(colEndUserOnboarding, ThisItem, { IsChosen: true })

OnUncheck Property of the checkbox:

Patch(colEndUserOnboarding, ThisItem, { IsChosen: false })

 

Any leads where is the issue? much appreciated

 

 
Based on the information provided, it seems like the errors might be related to the column values in the formula used for collecting the data. 

 

1. Column Values in Collection:
Ensure that the column names and the equivalent column values used in the 'Collect' function match the actual column names and values in your data source 'colSelectedRecords'. 

 

2. Collection Creation and Patching:
Verify that the collection ('colEndUserOnboarding') is properly created and patched to the 'colEndUserOnboarding' collection. Ensure that the patching is done correctly to reflect the changes made by the checkbox interactions.

By addressing these points and ensuring consistency in the column names and values in collection handling, you should be able to resolve the errors you're encountering.

 

Adjust the field names and values in the collection as per your actual data source and requirements.

The problem I have is that the "IsChosen" is not recognized

I have set the OnCheck porperties to:

I see, if "IsChosen" is not recognized, it might be due to a couple of reasons,

 

Column Name Mismatch: Ensure that "IsChosen" is indeed the name of the column in your data source ('colEndUserOnboarding'). Double-check the spelling and capitalization to ensure consistency.

Data Source Refresh: If you recently added the "IsChosen" column to your data source, make sure to refresh the data source in PowerApps to reflect the changes.

 

Try the Collect function instead of Patch in the OnCheck and OnUncheck properties of the checkbox. 

- OnCheck Property of the checkbox:

Collect(colEndUserOnboarding, { ID: ThisItem.ID, IsChosen: true })

- OnUncheck Property of the checkbox:

Collect(colEndUserOnboarding, { ID: ThisItem.ID, IsChosen: false })

 

This way, you're collecting the updated item with the "IsChosen" property set to true or false directly into the "colEndUserOnboarding" collection. Make sure to include the "ID" field (or any other unique identifier) to uniquely identify the item being modified.
