Power Apps Licensing for Guest Users

Inviting Guests to Access your Power App which has Premium Connectors

 

A pre-requisite of access to a Power App is to have a Microsoft Work or School user account. Microsoft users with Personal Accounts (for personal use, such as Outlook, Skype, etc.) will not be able to access a Power App.

 

Per User Licensing

 

  • You can allocate a PowerApps Premium license directly to each Guest, once you have onboarded them via Microsoft Entra.
  • Share your Power App with them directly in Power Apps.
  • Remember that they will also need Permissions for any associated Data Sources - a good rule of thumb is to create an Access Group via Microsoft Entra and add Guest Users as required.

 

Inviting Guests to Access your Power App which has No Premium Connectors

 

A pre-requisite of access to a Power App is to have a Microsoft Work or School user account. Microsoft users with Personal Accounts (for personal use, such as Outlook, Skype, etc.) will not be able to access a Power App.

 

Per App Licensing

 

  • Purchase Per App Licenses for any Power App - also referred to as "App Passes" - in Microsoft Admin.
  • In the Power Platform Admin Center, navigate to Resources>Capacity>Add-Ons, where you can administer your purchased "App Passes".
  • In your Power App Settings (from the Power Apps Home Page), set "Auto Assign App Passes" to Yes.
  • From that moment, Guest users accessing that specific Power App will be allocated an App Pass - as a Guest leaves the App, the App Pass is placed back in the Pool - it's a concurrent license scheme.
  • Share your Power App with them directly in Power Apps.
  • Remember that they will also need Permissions for any associated Data Sources - a good rule of thumb is to create an Access Group via Microsoft Entra and add Guest Users as required.

Just so we are clear, the ability to access Premium Connectors in a Power App with a Power Apps Per App licence is not going away - correct?
